Who we are

MeraTalk is a cloud communications platform operated by MeraTalk Inc. Our website address is meratalk.com.

We provide cloud phone systems, AI contact center tools, team messaging, and related business communication services to companies worldwide. This Privacy Policy applies to all users of our website and platform services.

Information we collect

We collect information you provide directly to us and information we collect automatically when you use our services.

Information you provide

  • Account registration details: name, work email, company name, and phone number.
  • Billing information: payment card details processed securely through our PCI-DSS-certified payment processor. We do not store raw card numbers.
  • Communications you send us via contact forms, support tickets, or email.
  • Content uploaded to the platform: call recordings, voicemails, transcripts, and messages.

Information collected automatically

  • Log data: IP address, browser type and version, pages visited, timestamps, and referring URLs.
  • Device information: operating system, device identifiers, and screen resolution.
  • Usage data: feature interactions, call metadata (duration, destination, timestamps), and platform events.
  • Cookies and similar tracking technologies (see Cookies section below).

Information from third parties

If you connect a third-party integration (e.g. HubSpot, Salesforce, Google Workspace), we receive data shared by that platform in accordance with your authorisation and their privacy policies.

How we use your data

We use the information we collect to:

  • Provide, operate, and improve the MeraTalk platform and services.
  • Process transactions and send related billing and account notifications.
  • Respond to your support requests and communications.
  • Send product updates, service announcements, and marketing communications (you may opt out at any time).
  • Monitor for abuse, fraud, and security threats.
  • Comply with applicable legal obligations.
  • Analyse aggregated usage patterns to improve features and user experience.

We do not sell your personal data to third parties for their own marketing purposes.

Cookies & tracking

We use cookies and similar technologies to operate the platform, remember your preferences, and analyse usage.

Essential cookies

Required for the platform to function. These include authentication tokens, CSRF protection tokens, and session identifiers. They cannot be disabled without breaking core functionality.

Preference cookies

Remember your settings such as language, region, and notification preferences. These typically expire after one year.

Analytics cookies

We use privacy-respecting analytics tools to understand how users interact with our site. Data is aggregated and anonymised where possible. You can opt out via your browser settings or our cookie preference centre.

Marketing cookies

Embedded content

Pages on this site may include embedded content from third-party providers (e.g. YouTube videos, social media widgets, interactive demos). Embedded content from other websites behaves in exactly the same way as if you visited those websites directly.

These third-party sites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content — including tracking your interaction if you have an account and are logged in to that website.

We recommend reviewing the privacy policies of any embedded content providers whose content you interact with.

Data sharing

We do not sell, rent, or trade your personal data. We share data only in the following limited circumstances:

Service providers

We engage trusted third-party vendors to help us deliver services — such as cloud infrastructure providers, payment processors, email delivery services, and analytics platforms. These providers are contractually bound to handle your data only as instructed and in compliance with applicable privacy laws.

Business transfers

If MeraTalk is involved in a merger, acquisition, or asset sale, your data may be transferred as part of that transaction. We will notify you before your data is transferred and becomes subject to a different privacy policy.

Legal requirements

We may disclose your information if required by law, court order, or government authority, or when we believe disclosure is necessary to protect our rights, prevent fraud, or ensure user safety.

With your consent

We may share your data for other purposes with your explicit consent.

How long we retain data

We retain your personal data for as long as your account is active or as needed to provide you with our services.

  • Account data is retained for the lifetime of your account and for up to 90 days after deletion to allow recovery.
  • Call recordings and transcripts are retained per your plan settings. You may delete them at any time from your dashboard.
  • Billing records are retained for 7 years to comply with financial regulations.
  • Support communications are retained for 3 years.
  • Log and analytics data is retained in aggregated form for up to 24 months.

When data is no longer required, we delete or anonymise it securely. You can request deletion of your data at any time (see Your Rights below), subject to legal retention requirements.

Your rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Rectification: Ask us to correct inaccurate or incomplete data.
  • Erasure: Request deletion of your personal data, subject to legal retention obligations.
  • Portability: Receive your data in a structured, machine-readable format.
  • Restriction: Ask us to restrict processing of your data in certain circumstances.
  • Objection: Object to processing based on legitimate interests or for direct marketing purposes.
  • Withdraw consent: Where processing is based on consent, you may withdraw it at any time without affecting prior processing.

If you are located in the EEA, UK, or California, you also have the right to lodge a complaint with your local data protection authority.

Where your data is sent

MeraTalk operates globally. Your data may be stored and processed in the United States, the European Union, or other countries where MeraTalk or its service providers maintain infrastructure.

When transferring personal data from the EEA or UK to countries without an adequacy decision, we rely on standard contractual clauses (SCCs) approved by the European Commission, or other legally recognised transfer mechanisms.

Enterprise and regulated-industry customers may request data residency options to ensure their data stays within a specific region (US, EU, UK, Canada, or Australia).

Visitor comments and support form submissions may be checked through automated spam detection services. These services may process your IP address and message content to identify spam.

Security

We take the security of your data seriously. MeraTalk maintains a comprehensive security programme that includes:

  • Encryption in transit (TLS 1.2+) and at rest (AES-256) for all personal data.
  • SOC 2 Type II certification, audited annually by an independent third party.
  • PCI-DSS compliance for all payment processing.
  • Role-based access controls, multi-factor authentication, and audit logging for all admin access.
  • Annual penetration testing by an independent security firm.

Despite these measures, no system is completely secure. If you believe your account has been compromised, contact us immediately at info@meratalk.com.

Children's privacy

MeraTalk services are intended for business use and are not directed at children under the age of 16. We do not knowingly collect personal data from children.

If you believe we have inadvertently collected data from a child under 16, please contact us immediately at info@meratalk.com and we will take steps to delete that information promptly.
